Terms & Conditions

The basis on which Raj Security provides security and facility-support services in Pune.

1. Acceptance of these terms

These terms apply to every security, manpower and facility-support service provided by Raj Security and Facility Management Private Limited unless a signed agreement states otherwise.

  • Engaging Raj Security for any assignment confirms acceptance of these terms.
  • Where a signed service agreement or work order exists, that document prevails over anything written here.
  • These terms may be revised from time to time; the version published on this page at the time of engagement applies.

2. Scope of services

Raj Security provides trained security personnel and related facility-support services. The exact scope for each site is recorded before deployment.

  • Security guarding, supervision, gate and access control, and patrol duties.
  • Industrial, corporate, residential, society, event, retail and construction site security.
  • Housekeeping and facility-support manpower where agreed in the same work order.
  • Surveillance and electronic security support, including CCTV, biometric and access-control systems.
  • Any service not listed in the accepted quotation or work order is treated as a separate, chargeable requirement.

3. Engagement and site assessment

Every assignment begins with an assessment so that staffing and duties match the actual property.

  • The client provides the site address, access points, operating hours, shift requirement and known risks.
  • Raj Security conducts a site survey and proposes posts, staffing numbers, shift pattern and duties.
  • A written quotation is issued covering personnel, shifts, duties, supervision and any separate costs.
  • Deployment begins only after the quotation or work order is accepted in writing by the client.

4. Deployment and personnel

Personnel are deployed against the agreed post structure and remain employees of Raj Security throughout the assignment.

  • All personnel are screened, verified and inducted on the site layout, post duties and emergency contacts before deployment.
  • Personnel remain on the rolls of Raj Security; no employment relationship is created between the client and any deployed person.
  • Raj Security arranges reliever cover for absence, leave and weekly off as agreed in the work order.
  • Raj Security may replace or rotate personnel for operational, disciplinary or compliance reasons.
  • The client may request replacement of any person, with reasons, and a suitable substitute will be arranged.

5. Supervision, attendance and reporting

Day-to-day operations stay visible to the client through documented checks and reports.

  • A named field officer or supervisor is assigned to the site and conducts day and night visits.
  • Attendance, shift handovers and post registers are maintained at site and are open to client inspection.
  • Incidents are recorded and escalated to the nominated client contact as per the agreed escalation route.
  • Reporting format and review frequency are agreed before deployment and can be revised by mutual consent.

6. Client responsibilities

Certain site facilities and information must be provided by the client for personnel to perform their duties safely.

  • Safe access to the site, a guard post or shelter, drinking water, lighting and sanitary facilities.
  • Written site instructions, restricted-area rules and an updated emergency contact list.
  • Prompt notice of any change in operating hours, shift requirement, site layout or risk profile.
  • Personnel must not be asked to perform duties outside the agreed scope, or to handle cash, valuables or keys unless specifically agreed in writing.

7. Charges, invoicing and payment

Charges follow the accepted quotation and statutory minimum wage requirements applicable in Maharashtra.

  • Invoices are raised monthly for the preceding month against the deployed strength and approved attendance.
  • Payment is due within the period stated on the invoice; delayed payment may attract interest as per the agreement.
  • Statutory revisions to minimum wages, PF, ESIC or GST are passed on with effect from the applicable date.
  • Overtime, additional shifts, festival duty and extra deployment are billed separately at the agreed rates.
  • Charges for electronic security equipment, installation and maintenance are quoted and invoiced separately.

8. Statutory compliance

Raj Security is responsible for the statutory obligations of its own employees.

  • Registrations and records applicable to a private security agency are maintained by Raj Security.
  • Provident Fund, ESIC, minimum wages, bonus and other statutory dues of deployed personnel are the responsibility of Raj Security.
  • Compliance records are made available to the client for verification on reasonable request.
  • The client is responsible for statutory requirements attaching to the premises itself.

9. Confidentiality and data protection

Information observed at the client site is treated as confidential.

  • Personnel are instructed not to disclose client information, site layout, visitor records or business activity to third parties.
  • Visitor registers, CCTV footage and access logs remain the property of the client.
  • Confidentiality obligations continue after the assignment ends.
  • Information may be disclosed only where required by law or by a competent authority.

10. Limitation of liability

Raj Security provides a supervised, documented security service; it does not act as an insurer of the property.

  • Liability is limited to loss directly and solely caused by proven negligence or wilful default of deployed personnel.
  • Any claim must be reported in writing within seven days of the incident, with supporting records, and a police complaint where applicable.
  • Raj Security is not liable for indirect, consequential or business loss.
  • No liability arises for loss caused by events beyond reasonable control, including natural calamity, riot, strike, fire or civil disturbance.
  • Cash, jewellery, documents and high-value goods are covered only where specifically agreed in writing and appropriately insured by the client.

11. Term, renewal and termination

The assignment continues for the period stated in the work order unless ended earlier by either party.

  • Either party may terminate the arrangement by giving 30 days written notice.
  • Raj Security may suspend or withdraw services where invoices remain unpaid beyond the agreed credit period, after written intimation.
  • Immediate termination is permitted where site conditions are unsafe or where a material breach is not corrected after notice.
  • All dues up to the date of withdrawal, including the notice period, remain payable.
  • The client agrees not to directly employ deployed personnel during the assignment or for six months after it ends, without written consent.

Digital Security Services (CCTV, Biometric, Access Control)

Important for you, responsibility for us.

  • Equipment specification, camera positions, storage duration and network requirements are confirmed in writing before installation.
  • Installation is carried out at the agreed locations; changes requested afterwards are chargeable.
  • The client provides continuous power supply, internet connectivity and safe physical access for installation and maintenance.
  • Warranty is limited to the manufacturer warranty on supplied equipment and does not cover physical damage, power surge, water ingress, theft or unauthorised handling.
  • Recording duration depends on storage capacity configured at installation; older footage is overwritten automatically.
  • Footage retrieval requests should be raised promptly, as recordings cannot be recovered once overwritten.
  • CCTV, biometric and access-control systems are monitoring aids and do not by themselves prevent an incident.
  • Annual maintenance, if required, is quoted and invoiced separately from the supply and installation cost.
  • The client is responsible for using surveillance equipment lawfully, including any notice or consent requirements applicable to monitored areas.

Governing law and jurisdiction

These terms are governed by the laws of India. Any dispute arising out of or relating to the services is subject to the exclusive jurisdiction of the courts at Pune, Maharashtra. The parties will first attempt to resolve any dispute through discussion between the nominated representatives of both sides.
